How to add delegated access permissions

Delegated access permissions need to be set in your SmartLockr admin portal before they will work. Read all about what delegated access means and how you can set these permissions below.

What is delegated access?

Delegated access is a way to allow someone to send SmartLockr files and/or messages with the email address of a shared mailbox of another user.

How to set these permissions:

Manually:

Step 1: Log in to our admin portal. After authenticating, your screen will look like this:

Step 2: Click "Users". The menu will expand and look like this:

Step 3: Click "Delegate access". On the right hand side this screen will become visible:

Step 4: Click “Add new”. This screen will open:

Step 5: In the field “Primary user email”, you can select the email address that you want to give someone access to.

Step 6: Select the people that you want to give access to the email address you chose in step 5. If you want to add multiple people, click Add to create a second line, and so on.

Step 7: Click "Save" when you’re done.

Important notes:

  • Before you’re able to select the primary and delegated user(s), they need to be activated with a valid license within SmartLockr.

  • These settings are valid for SmartLockr only and not for Microsoft Outlook. Before you are able to use the shared mailbox or other mailbox itself, you need to be given access to the email server by the IT department.

  • Adding permissions for a shared mailbox instead of a personal mailbox works in the same way on our end. Just make sure that the “primary user email” field reflects the mailbox you want to give someone permissions to.

  • A shared mailbox will show up as a user in the user section of the admin portal. Only when the shared mailbox is active with a license attached to it, you will be able to set the delegated access permissions.

Automatically through an upload of a CSV file:

It’s also possible to upload these settings through a CSV file to make things a bit easier. The file needs to be formatted in a specific way to work. The formatting needs to be:

Step 1: Log in on our admin portal (https://admin.smartlockr.eu). After authenticating your screen will look like this:

Step 2: Click "Users", the menu will expand and look like this:

Step 3: Click "Delegate access", on the right hand side this screen will become visible:

Step 4: Click “Add from CSV”, the following screen will appear:

Step 5: Now click “Import CSV file” to open the file explorer to select your file. It will look like this:

Step 6: Select the file you want to upload and click “Open”. You will be back in this screen:

Step 7: Click “Submit File”. You will get a confirmation screen with a warning:

Step 8: Click “Confirm” and wait for the screen to refresh. An import usually doesn’t take long, but it does depend on the file size of your upload. You can refresh your screen to check if all the settings have been imported.
