How do I confirm recipients and files with Smartlockr?

In this article, we will walk you through how to confirm the attachment(s) and recipient(s) when you use Smartlockr to send your email. Which screens you will see depends on the options you chose when sending your message. For that reason, we divide this article into sections and subsections and go through all the options with you.

You may not see Smartlockr options and/or password options, as the administrator of Smartlockr within your organization has the ability to disable or modify features.

Public files:

With this option, your files will have Smartlockr encryption but recipients do not need to enter a password or SMS code to access the file(s). These are the steps to send files with public files:

Step 1: Type your email as usual and add the attachment(s).

Step 2: Turn on Smartlockr (if applicable) and choose the "Public Files" option.

Step 3: Click "send" in Outlook to send your email.

Step 4: Smartlockr will now ask you to confirm the attachment(s), confirm the files:

Step 5: Click "next" as shown in the screenshot above.

Step 6: Confirm the recipient(s).

Step 7: Click "send" as seen in the screenshot above and you're done!

Secure files:

With this option of Smartlockr, your files are encrypted with the Smartlockr encryption and the recipients must enter a password that they receive by email (1FA) or by SMS (2FA). We divide this section into two parts: 1FA (password by email) and 2FA (password by SMS).

One-factor authentication (1FA):

Step 1: Type your email as usual and add the attachment(s).

Step 2: Turn on Smartlockr (if applicable) and choose the "Secure Files" option.

Step 3: Click "send" in Outlook to send your email.

Step 4: Choose (if applicable) "One-factor authentication" at the top of the Smartlockr screen.

Automatically generated password:

Step 5: Choose "Autogenerate password".

Custom password:

Step 5: Type in a password of your own choosing and then click "save," this password must contain the following:

  • At least eight characters

  • One uppercase letter

  • One lowercase letter

  • A special character

We will now continue with the steps that will be the same in both cases.

Step 6: Now click on "next" The next step is to confirm the attachment(s).

Step 7: Confirm the attachment(s) and click next when you are done.


โ€‹Step 8: Confirm the recipients and click send. Your attachment(s) have now been securely sent!

Two-factor authentication (2FA):

Step 1: Type your email as usual and add the attachment(s).

Step 2: Turn on Smartlockr (if applicable) and choose the "Secure Files" option.

Step 3: Click "send" in Outlook to send your email.

Step 4: Choose (if applicable) "Two-factor authentication" at the top of the Smartlockr screen.

Step 5: Confirm the attachment(s) and click next when you're done.

Step 6: Enter the phone numbers for the recipient(s).

Step 7: After entering the phone number(s), confirm the recipient(s).

Step 8: Click "send" and your attachment(s) have been securely sent!

Secure message:

With this option of Smartlockr, we provide the entire mail with the Smartlockr encryption. If there are no attachments in the message we encrypt only the text but if there are attachments we encrypt them as well and they can be downloaded online as usual.

One-factor authentication (1FA):

Step 1: Type your email as usual and attachments if necessary.

Step 2: Turn on Smartlockr (if applicable) and choose the "Secure Message" option.

Step 3: Click "send" in Outlook to send your email.

Step 4: Choose (if applicable) "One-factor authentication" at the top of the Smartlockr screen.

Automatically generated password:

Step 5: Choose "Autogenerate password".

Custom password:

Step 5: Type in a password of your own choosing and then click "Save" this password must contain the following:

We will now continue with the steps that will be the same in both cases.

Step 6: Now click "next."

Step 7: Confirm the attachment(s) and click next when you are done. Smartlockr will skip this step if there are no attachment(s) in your message.

Step 8: Confirm the recipients and click send. Your message and any attachment(s) have now been securely sent!

Step 1: Type your email as usual and attachments if necessary.

Step 2: Turn on Smartlockr (if applicable) and choose the "Secure Message" option.

Step 3: Click "send" in Outlook to send your email.

Step 4: Choose (if applicable) "Two-factor authentication" at the top of the Smartlockr screen.

Step 5: Confirm the attachment(s) and click next when you're done. If there are no attachment(s), Smartlockr will skip this screen.

Step 6: Enter the phone numbers for the recipient(s).

Step 7: After entering the phone number(s), confirm the recipient(s).

Step 8: Click "send" and your attachment(s) have been securely sent!
