In this article, we discuss the solutions that solve most problems when activating users and mailboxes.
Manual:
When you manually create users via our admin portal (admin.smartlockr.eu), the recipient receives an invitation to activate the user. If you use Smartlockr authentication, the user needs to set a password. With other options such as ADFS or AzureAD, the user can, if necessary, enter the usual ADFS or AzureAD password to activate the user. After going through the steps, the user can start using Smartlockr.
If problems occur, do the following:
Check if there are enough Smartlockr licenses available.
Check if the user clicked on the invitation from Smartlockr.
Ask the user to log in to admin.smartlockr.eu.
Ask the user to log out within the Smartlockr plug-in (File, Smartlockr, Log out).
Restart Outlook.
Ask the user to log in within the Smartlockr plug-in.
We also activate licenses automatically on our side, but this can take some time. By going through the steps above, you can speed up this process. When using Smartlockr authentication, this must of course always be set first because otherwise logging in to Smartlockr is not possible.
AzureAD Sync:
If your users already log in with AzureAD and you can put them in a group, you can (if it fits within your subscription) also use our AzureAD Sync. Once this sync is active, we activate and remove users based on the group you manage yourself. It is then no longer necessary to manually create and remove users, plus we automatically activate these for you. Please contact support via [email protected] and we can help you with this.
If problems occur, do the following:
Check if the user is in the group in AzureAD.
Check if the user is present on admin.smartlockr.eu.
Check if there are enough licenses available.
Let the user log in via admin.smartlockr.eu.
Ask the user to log out within the Smartlockr plug-in (File, Smartlockr, Log out).
Restart Outlook.
Ask the user to log in again within the Smartlockr plug-in.
Shared Mailboxes:
Do you want to use shared mailboxes with Smartlockr? This is possible, but these also need a Smartlockr license because channels of Smartlockr will be created for these email addresses. You get the licenses for shared mailboxes from us, just like they don’t cost any money at Microsoft. The easiest way to activate them is by doing an import of the shared mailboxes on admin.smartlockr.eu, so we immediately know that they are shared mailboxes and who has access to them. Contact Support if you need help with this or need more licenses to activate these mailboxes.
If problems occur, do the following:
Check if the shared mailbox is among the users of Smartlockr.
Check if there are enough free licenses.
Check if the sender of the message is also in the access authorized in our admin portal.
Create the shared mailbox (if necessary) and then also add the access authorized (if necessary).
Check if the mail has indeed been sent on behalf of the shared mailbox and not on behalf of the user’s own mailbox.
